Polaris Collective P.B.C. ("Polaris Collective," "we," "us," or "our") respects your privacy and is committed to protecting it through this Privacy Policy. This policy explains what personal information we collect, how we use it, who we share it with, and the choices you have regarding your information. This policy applies to our website, our marketing communications, and our events (collectively, the "Services").

2. Information We Collect We collect information you provide directly to us, primarily through forms associated with our marketing and event activities.

This may include:
Identity Information: Name, email address, phone number (if provided), company or organizational affiliation, and job title or role.
Submitted Content: Any other information you choose to submit through a form (e.g., event registration details, RSVP responses, comments, or inquiries).

Financial & Minor Protection:
Payment Information: We do not collect, process, or store credit card or financial account information.
Children’s Privacy: We do not knowingly collect information about children, and our Services are not directed to individuals under the age of 18.

3. How We Collect Information We collect personal information through:

- Forms on our website (hosted via Webflow and/or Hubspot).
- Event registration and RSVP forms (processed through Luma).
- Direct communications (including emails sent to or received via Google Workspace).

We do currently use dedicated analytics or advertising tracking tools (e.g., Google Analytics, ad pixels) and do not use cookies for tracking purposes. Please refer to the privacy policies of Webflow and Luma for details on their respective functional cookies. The analysis tools in use are: Google Analytics, Google Tag Manager.

4. How We Use Your Information We use the information we collect for the following purposes:

Email Marketing: Sending newsletters, event invitations, updates, and announcements.
Event Management: Registering attendees, managing RSVPs, and communicating event logistics.
Outreach: Connecting with prospective partners, speakers, sponsors, and community members.
Marketing Analytics: Understanding engagement trends (e.g., open rates) to improve our programming.

We do not sell your personal information or use it for purposes incompatible with this policy without your consent. Your consent may be provided by registering or attending one of our events (in person or online).

5. How We Share Your Information We do not sell or rent your personal information. We share information only with necessary service providers who process it on our behalf:

Google Workspace: Email communications and internal management.
Luma: Event registration and RSVP management.
Webflow: Website hosting and form submissions.
Google Analytics/Tag Manager: Website analytics
Event Sponsors: We may share your information with an individual event sponsor of an event you registered or attended.

We may also disclose your information if required by law, legal process, government request, or to protect the safety and rights of Polaris Collective and our community.

6. International Users
By using our Services, you acknowledge that your information may be transferred to and processed in the United States. If you are located in the EEA, UK, or Switzerland, you may have rights under the GDPR or UK GDPR, including the right to access, correct, delete, or restrict processing. 7.California Privacy Rights California residents may have rights under the CCPA/CPRA, including the right to know, delete, correct, and opt out of the sale or sharing of personal information. Note: Polaris Collective does not sell or share personal information for cross-context behavioral advertising.

8. Data Retention We retain information only as long as necessary to fulfill the purposes described in this policy:

Marketing Data: Retained as long as you are subscribed, plus up to 3 years post-interaction.
Event Data: Retained for up to 2 years following the event.
Outreach Data: Retained for up to 2 years from the date of last contact.

If you request deletion, we will remove your information from active use within 30 days, subject to legal compliance requirements. While we will stop using your data immediately upon a deletion request, your data may persist in our backup or archive systems until expired based upon our then current retention policies.

9. Your Choices
Marketing: Unsubscribe via the link in our emails or by emailing info@polariscollective.ai.
Data Requests: To request access, correction, or deletion of your information, please contact info@polariscollective.ai.

10. Data Security We implement reasonable security measures to protect your information. However, no method of internet transmission or storage is 100% secure.

11. Changes to This Policy We may update this policy periodically. We will post the updated version on this page and revise the "Last Updated" date.
